Student Service Officer

As a leading educational provider in its field, Sydney Institute of Interpreting and Translating (SIIT) delivers quality training programs to both overseas and local students. SIIT is now recruiting a motivated individual to join our dynamic team to fulfill the position of a Assistant Accountant Officer / Student Service Officer at our Sydney campus.

1. POSITION DESCRIPTION

Assistant Accountant Officer duties:

1.1 Provide accounts receivables, accounts payable, reporting and management of accounts functions for the college.
1.2 Manage and process receipts of all student fees in Salesforce.
1.3 Carry out bank reconciliation on a monthly basis.
1.4 Manage and pay supplier and creditor invoices including agent invoices for commission processing into MYOB, in coordination with the college PEO & Finance Manager.
1.5 Manage and chase student payments and issue appropriate warning and Intention to Report (ITR) letters to students who default on payments by due date in coordination with the college PEO
1.6 Collect accounts and finance related mails (invoices, bills etc) for the college.
1.7 Assist the college PEO with the student refund management.
1.8 Be responsible for any other accounting duty or responsibility as specified by the college PEO.

Student Service Officer Duties:


1.9 As the first point of contact handle all types of student/agent inquiries and refer these inquires to appropriate personnel.
1.10 Comply with the college code of conduct & college policies and procedures.
1.11 Student data management by online system Axcelerate.
1.12 Dealing with current student of requests (e.g. document requests; change of course requests; deferment, suspension, and withdrawal of studies; refund; complaints and appeal, etc.) and forward the relevant department for processing
1.13 Monitoring students’ attendance and send warning letter when necessary
1.14 Student file management
1.15 Office supplies ordering
1.16 Assist students in various admin requests such as: change of class, change of course, leave of absence, course cancellation, complaints and appeals by advising them of appropriate course cancellation, complaints and appeals by advising them of appropriate course of action and documentation required.
1.17 Maintain appropriate registers for all student requests.
1.18 Inform students of their request outcome within 10 days from the date of application.
1.19 Create and maintain new student admin files.
1.20 Archive student admin files on course completion.
1.21 Direct students on how and where to access information in student handbook and college website.
1.22 Provide assistance to students on personal, emotional and cultural issues and if necessary, in consultation with College PEO organise students to meet student Counsellor.
1.23 Ensure student contact details are up to date in student management system database at all times.
1.24 Monitor and enter student attendance in student management system database on weekly basis.
1.25 Maintain reception and common areas.
1.26 Open and lock classrooms as per working schedule.
1.27 Perform any other duties is require by the Campus Manager or the College PEO.

2. INTERNSHIP DETAILS

2.1 The internship is for a period of Two to Four weeks.
2.2 The Internship will take place at the Organisation’s premises at George St Campus, or elsewhere as reasonably necessary.
2.3 The Organisation’s normal hours of operation are 9:30 am to 6:00 pm, Monday to Friday.
2.4 The Intern is required to perform the Internship during the Organisation’s normal hours of operation. The exact hours of engagement are subject to agreement between the Intern and the Organisation.

3. WHAT THE INTERN CAN EXPECT

The Organisation values its Intern’s and endeavours to provide the Intern with:
(a) a full induction, orientation and any training necessary for the Intern’s role
(b) a safe environment to perform the Intern’s role
(c) suitable tools and equipment for the Intern’s role
(d) an Organisation contact, so that the Intern has the opportunity to ask questions and receive feedback and support
(e) insurance to cover the tasks undertaken by the Intern under this Internship Agreement

To be successful in this position, candidate will possess:

MYOB and Intermediate MS Excel skills;
Good time management skills;
Excellent oral and verbal English communication skills;
Bachelor of Accounting or equivalent qualifications;
Positive attitude & ability to work as a team;
Competent or advanced knowledge of Microsoft Office (Word, Excel & Outlook);Ability to meet challenging; deadlines with great attention to details;
Possessing qualities such as, being responsible, reliable and committed to student service and related tasks;
Prefer interpreting or translating background;
Prefer SIIT/TACIS graduates.
